Manager, Events (Pattaya Base)

Job Purpose:

This Events Manager is concerned with contributing to an effective department. Assists in planning, soliciting and promoting catering business for the hotel. Assists in the overall hotel Event plans and budgets. Responsible for revenue maximization and control of Event expenses through effective negotiation of services and accurate forecasting. Responsible for all communications between our customers and operations team. Responsible for successful execution of all meetings and events to ensure customers remain loyal and book future business with hotel/company. Assists in event sale services to ensure efficient and professional assistance with the meeting groups resulting in client satisfaction and hotel profitability. Contributes to the development and execution of strategic Sales and Plans and initiatives that maximize profitability for the hotel in order to achieve budget, revenue and market share targets.

 

Basic Function:

Provide support to sales team in planning and on site execution of events.

- Help provide strategic direction for the hotel by participates on committees and in meetings, including, but not limited to Department Head, Executive Committee, Revenue Management, Group Pick Up, Food and Beverage, Statement, Quality, Pre and Post group meetings. May also participate in operating department and sales meetings.

- Support daily distribution of BEO’s, reader boards and change logs.

- Conduct property tours to promote facilities and services.

- Take full responsibility of the Wedding segment handling.

- Organize Wedding activities, i.e. Bridal Workshop, Bridal Fair, etc.

- Ensure a clean and tidy working environment.

- Maintaining the most effective filing system.

 

Duties and Responsibilities:

- Consistently strives to maximize revenue and promote relationships through effective negotiation of services and control of expenses.

- Generate proposals, contracts and BEOs.

- Generate food and beverage revenue for groups and meetings by responding to customer inquiries as per The Standard Corporate Policy.

 - Develop and maintain a high level of communication with competitive set, ensuring regular communication to gain intelligence.  Keep abreast of market trends, changes and movements that will assist the hotel in formulating and implementing long and short term effective and functional business strategies.  Keep up to date with global, local and environmental issues impacting on the city and the hotel.

- Handle negotiations with meeting planners and generate Banquet Event Orders based on agreed contractual terms. Prepare and process all required paperwork to include BEOs, and all other related correspondences with clients.

- Handle customer relationship through drafting proposals and contracts, responding to customer inquiries, as well as organizing arrangements as they relate to social and corporate events ie: set-up and execution of social and corporate meetings, meals and special events. Provides direction and supervision of meeting and/or catering logistics to catering and event services managers and other departments and team members responsible for event execution.

-  Represent the hotel and conducts conferences with individual customers by telephone or in-person to solicit and close group and local catering business. Meets with and entertains customers, conducts property tours and promotes facilities and services and within parameters, has discretion to negotiate contracts with customers and commission agreements with vendors.

-  Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact, and diplomacy to defuse anger, collect accurate information, and resolve conflicts.

- Ability to deliver high levels of customer service by focusing on the needs of client and exceeding their expectations.

- Entertain clients prior to and during in-house meetings.

- Ensuring maximum revenue generation during peak and non-peak periods by practicing demand based pricing strategies.

- Assist in compiling sales forecasts, development of guest room rates, collection and reporting of sales data, and management of sales department budget.

- Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel.

- Maintain excellent working relationship from initial lead call through follow-up solicitation and maintain contact with all support departments, including banquets and functions room departments, until event conclusion.

- Service account load. Acts as liaison between clients and all hotel departments, analyzing and deciphering large amounts of oral and written data and effectively organizes and acts on the information to ensure client satisfaction and hotel profitability. Maintains an open line of communication between clients and hotel staff.

- Maintain an open line of communication between guests, employees and management.

- Maintain a continuous open door policy to answer team member questions needing immediate attention.

- Participate in meetings as appropriate, to ensure communication between departments while helping to ensure clients' needs are met.

- Direct effort of sales staff including assisting job performance and improvement of job performance.

- Maintain a good working relationship with other departments, employees, and guests.

- Encourages team work and spirit in all areas of the department.

 

Physical Requirements:

- BS degree required or equipvalent work Experience

- Fluent in English, both spoken and written. Another language is desireable

- Requires operations/sales experience; preferably 2 years or more.

- Proven track record of successes in achieving revenue objectives.

- Preferably with Hotel Brand Background

- Critical strategic thinking, strong analytical skills

- Being good business partners to support strong operation teams

- Monitor competitors’ rate strategy, account penetration and marketing activities to maintain a competitive edge Solicit new and existing corporate/MICE group accounts to meet and exceed revenue goals through telephone prospecting, outside sales calls, site inspections and written communication.

- Up-sell, cross-sell and promote Hotel facilities & services at every available opportunity in order to maximize sales revenue

- Achieve monthly targeted number of sales activities with effectiveness

- Good presentation skills
